Many airports within Europe have smaller terminals, so called FBO, which the air taxi companies use to make meetings and departures easier. Crew and passengers meet and exit the FBO towards the aircraft and your quick departure.

When is the meeting time at the airports?

It depends on the airport, of course, but generally speaking your meeting time will be very close to departure. If your departure is from Stockholm Bromma Airport it only takes a few minutes from parking your car or taxi until you are seated comfortably in your plane.
